PART TWO: SKYDREL HOTEL BOOKING — PRIVACY POLICY

Skydrel Hotel Booking is a service operated by Skydrel that connects guests with hotels across Bhutan. Guests search, choose a room, and send a booking request; hotels confirm or decline it through their own dashboard. Nothing is charged online — guests pay the hotel directly at the counter after they arrive. This part of the policy explains, in detail, what information we collect from guests and hotel owners, how it moves between the two of them, and how it is used, stored, and protected.

1. Scope of This Part

This part applies to anyone who interacts with the hotel booking side of Skydrel, in either of two roles:

  • Guests — anyone who searches for a hotel, sends a booking request, checks in or out, cancels a booking, or writes a review.
  • Hotel owners — anyone who registers a hotel, lists rooms, manages bookings and cancellations, replies to reviews, features a listing, or renews a subscription through the Owner Dashboard.

Where a person acts in both roles (for example, a hotel owner who also books a room elsewhere as a guest), both sets of provisions below apply to the relevant activity.

2. Information We Collect

2.1 Information Collected From Guests

At the time of booking, the following is collected through the booking form:

  • Check-in and check-out dates, number of rooms requested, and number of adults and children
  • Expected arrival time, so the hotel can plan its front desk accordingly
  • Lead guest’s full name, nationality, identity document number, phone number, and email address
  • Airport pickup details, where the hotel offers this service: pickup date, flight number, arrival time, and terminal
  • Any free-text remarks the guest chooses to add — for example, a late arrival notice, a request for an extra bed, dietary restrictions, or an access requirement

After booking, we additionally hold:

  • The booking reference and its full status history (requested, confirmed, declined, arrived, checked out, cancellation requested, cancellation approved or declined)
  • Copies of the e-Hotel Confirmation Form issued for each confirmed booking
  • Any cancellation request the guest submits: the reason given, and any supporting file attached (for example, a flight cancellation notice)
  • Review content the guest submits: display name, email address (not published), a one-to-five star rating, a written headline and comments, up to three photographs, and — optionally — the associated booking reference, which is used only to attach a “verified stay” mark to the review

2.2 Information Collected From Hotel Owners

At registration, hotel owners provide:

  • Full name, nationality, identity document number, phone number, and email address
  • Permanent address, given by Dzongkhag, Gewog, and Chiwog
  • A photograph of the identity document used (front, and back as well for a citizenship card)
  • The hotel’s name, its Dzongkhag, and a Google Maps link to its location
  • The chosen listing plan (one month, six months, one year, or lifetime) and its price
  • A payment receipt or screenshot confirming the transfer or QR payment for that plan
  • A self-chosen six-digit PIN, used in place of a password to sign in to the Owner Dashboard

While operating a listing, hotel owners add and maintain:

  • Cover and gallery photographs for the hotel and for each room type
  • Hotel and room descriptions, nearby points of interest, and breakfast or facility details
  • Amenity tags for the hotel and for individual rooms
  • The hotel’s logo, printed on every confirmation form issued for that hotel
  • WhatsApp number and hotel email address, shown to guests as contact channels
  • Booking hours, set through the Booking Time Manager
  • Airport pickup availability and its price, where offered
  • Actual and discounted nightly prices per room type
  • The number of physical rooms of each type, and maximum adults/children per room
  • Room status (vacant or occupied), including holds placed for offline (phone or walk-in) bookings
  • Reports and statements generated from booking activity, downloadable as a spreadsheet
  • Replies posted to guest reviews

2.3 Information Shared Between the Two Dashboards

Because a booking connects a guest to a specific hotel, some information is necessarily visible to both sides:

  • The hotel owner sees everything the guest entered on the booking form for their property, including the identity document number, so they can complete their guest register at check-in
  • The guest sees the hotel’s public contact details (phone, email, WhatsApp) once they tap to reveal them
  • Once a stay is complete, a public review is visible to any visitor to the hotel’s page, along with any reply the hotel owner posts

2.4 Technical and Usage Data

As with the rest of the Skydrel platform, we collect IP address and approximate location, device type, browser and operating system, pages visited and time spent, and data from cookies and similar tracking technologies, for both the guest-facing booking pages and the Owner Dashboard.

3. Purpose of Collecting This Information

We collect and process hotel booking data to:

  • Operate the search, filtering, and room-selection experience for guests
  • Create and validate booking requests, and route them to the correct hotel owner
  • Generate the e-Hotel Confirmation Form and deliver it by email once a booking is confirmed
  • Allow hotel owners to approve or decline requests based on real availability
  • Record and communicate check-in and check-out events
  • Process cancellation requests, apply the relevant charge rule, and notify both parties of the outcome
  • Verify hotel owner identity and hotel ownership during registration, to reduce fraudulent listings
  • Process payments for hotel owner listing plans, featured placements, and renewals, and confirm them against the receipt or screenshot submitted
  • Produce owner-facing reports and statements of booking activity, confirmed value, room nights, and guest counts
  • Publish and manage guest reviews, and the owner’s replies to them
  • Send the full range of transactional emails described in Sections 8 and 12 below
  • Send booking reminders to hotel owners who have not responded to a request within two hours
  • Investigate misuse, fraudulent bookings, fake reviews, or harassment reported by either guests or owners
  • Comply with legal obligations within Bhutan, including hotel record-keeping requirements

4. How Guest Information Is Used

  • A guest’s booking-form details are shown to the relevant hotel owner only, not to other hotels or other guests
  • The identity document number is used solely so the hotel can verify the guest against the document presented at check-in and complete its own register — it is not published or shared beyond that hotel
  • Contact details are used to send booking status emails, and may be used by the hotel to reach the guest directly (for example, about a date change, as described in the booking guide)
  • Review content (name, rating, text, photos) is published on the relevant hotel’s page; the reviewer’s email is retained internally only, to verify authenticity if a review is disputed

5. How Hotel Owner Information Is Used

  • Identity documents and permanent address details are used to verify that the person registering a hotel is who they claim to be, and are retained for that verification and for compliance purposes
  • The PIN is stored securely and used only for the owner to authenticate into their own dashboard; it is never shared with guests or other owners
  • Payment receipts/screenshots are used solely to verify and activate the plan, feature, or renewal purchased, and are matched against the account they were submitted for
  • Hotel and room content (photos, descriptions, amenities, pricing) is published publicly so guests can search and book
  • Reports and statements are generated from the owner’s own booking data and are visible only to that owner within their dashboard

6. Sharing of Hotel Booking Information

We do not sell or rent guest or hotel-owner data. Information is shared only as follows:

6.1 Between Guest and Hotel Owner

As described in Section 2.3, the specific hotel a guest books with receives the guest’s booking details, including identity document number, to fulfil that booking. This is a necessary part of the booking function and cannot be switched off for a completed booking request.

6.2 Public-Facing Information

  • Hotel listings (photos, descriptions, amenities, prices, availability, logo) are public by design
  • Published reviews (name, rating, text, photos, and any owner reply) are public
  • A guest’s email address, phone number, and identity document number are never published

6.3 Service Providers

Trusted third parties who support hosting, email delivery (including confirmation-form PDFs), analytics, and communications infrastructure.

6.4 Legal Compliance

Booking and hotel-owner records may be disclosed when required by Bhutanese law, regulation, or a competent authority, or to protect rights, safety, or prevent illegal activity — for example, in connection with a hotel’s legal obligation to maintain a guest register.

7. Payments

Skydrel Hotel Booking does not process guest payments online, and does not collect or store card, bank, or wallet payment details from guests at any point in the booking flow. The total shown on the booking form and on the e-Hotel Confirmation Form is payable directly to the hotel, at the hotel’s counter, in whatever method the hotel accepts.

Separately, hotel owners pay Skydrel directly for platform services — a listing plan, a featured placement, or a subscription renewal — by bank transfer or QR code, and upload a receipt or screenshot as proof of payment for our team to verify. These owner-side payments are unrelated to, and never combined with, guest booking charges.

8. Emails Guests Receive

EmailWhen it arrivesWhat it means
Request receivedWithin minutes of sending a booking requestAcknowledgement only; check your dates and the spelling of your name
Booking confirmedWhen the hotel accepts, usually within a few hoursYour e-Hotel Confirmation Form PDF is attached — save it
Could not be takenIf the hotel cannot take those datesNothing was charged; try different dates or another hotel
Checked inWhen the hotel marks you as arrivedRecord only, no action needed
Checked outAfter you leave and the hotel closes the stayRecord only, no action needed
Cancellation requestedAfter you submit a cancellationThe hotel is reviewing it, typically within a day
Cancellation approved or declinedWhen the hotel respondsIf approved, the booking is closed; if declined, it still stands
Review publishedOnce your review has been checkedYour review is now live on the hotel’s page

If an expected email does not arrive within ten minutes, check spam or promotions before contacting support.

9. Arrival, Check-In, and Identity Verification

At check-in, guests present their e-Hotel Confirmation Form — on a phone or printed — and the hotel checks the reference against its own records before marking the booking as arrived, which triggers a confirmation email to the guest. Guests must bring the identity document whose number was given at booking, since hotels are required to see it in person. Check-in/check-out times and house rules are shown on the hotel’s page and printed on the confirmation form. Payment is collected by the hotel at this point, covering the total on the form plus anything ordered during the stay.

10. Cancellations, and How the 24-Hour Rule Applies

Cancellations are handled through a dedicated cancellation page using the booking reference, without needing an account. A guest enters their reference, confirms the booking details shown are correct, states a reason (with an optional supporting attachment), and submits the request; the hotel is notified immediately and responds by email.

Whether a cancellation is free of charge depends on the individual hotel’s own house rules. Many hotels apply a general practice that a cancellation made 24 hours or more before the check-in date carries no charge, while a request made less than 24 hours before check-in remains chargeable even if the hotel goes on to approve the cancellation. However, this 24-hour treatment is not a fixed, platform-wide guarantee — it is implied only where the individual hotel has included such a condition in its own house rules or cancellation terms, which are shown on that hotel’s page under “Good to know.” Guests should check the specific hotel’s stated rules, or the note shown on the cancellation page itself, before assuming a particular cancellation will be free.

To change dates rather than cancel outright, guests are encouraged to contact the hotel directly using the phone, email, or WhatsApp details on the hotel’s page, since a hotel can often move a booking rather than have the guest start again.

11. Reviews

Anyone who has stayed may leave a review from the hotel’s page, giving their name, email (not published), a star rating, a written comment, and up to three photos, with an optional booking reference to add a “verified stay” mark. Reviews are published as soon as they are posted. Guests are asked to write only about their own stay, to keep comments focused on the hotel and service, and to post at most one review per hotel per email address. Hotel owners may reply publicly to any review but may never disclose a guest’s private details in doing so.

12. Setting Up and Running a Hotel Listing

12.1 Registration and Verification

Registering a hotel requires one form covering the owner’s personal and identity details, the hotel’s details and Google Maps link, identity document photographs, a chosen plan, payment proof, and a self-chosen six-digit PIN. An email confirms the application has been received; verification typically takes one to two working days, after which a second email confirms the account is live and the dashboard becomes available.

12.2 Signing In

The owner’s email is remembered on the device used, so day-to-day sign-in normally only requires the PIN; this can be cleared on a shared computer. A forgotten PIN is reset by requesting a six-digit code by email, which is valid for only a few minutes, and then choosing a new PIN.

12.3 Adding a Hotel and Rooms

A hotel record holds address, photos, and general amenities; individual rooms are added underneath it. The information supplied here — cover/gallery photos, descriptions, amenities, logo, WhatsApp/email, booking hours, airport pickup, pricing, room counts, and occupancy limits — directly determines what guests see and can book, so owners are expected to keep it accurate. Room availability updates automatically as bookings complete; the vacant/occupied switch is for owners to take a room out of service manually (for maintenance or an external booking).

12.4 Managing Booking Requests

Each request generates an email to the owner and appears in the Bookings tab of the dashboard, showing everything the guest supplied — including identity number, flight details, arrival time, and remarks. Owners approve (issuing and emailing the guest’s confirmation form) or decline (releasing the room and notifying the guest) each request; unanswered requests trigger a reminder email after two hours. Owners mark guests as arrived and later as checked out, which closes the stay and returns the room to sale.

12.5 Handling Cancellations

Guest cancellation requests appear in the Cancellations tab along with the stated reason, any attachment, and whether the request falls inside the applicable notice period under that hotel’s own rules. Approving releases the room and notifies the guest; declining leaves the booking standing; either way the guest is emailed, and the owner may add a personal message to that email.

12.6 Reports, Statements, and Offline Bookings

The Reports tab shows booking counts, confirmed value, room nights, and guest numbers over a chosen period, plus a downloadable statement in spreadsheet form. For bookings taken by phone or in person, owners can place a hold on specific rooms and dates from the Rooms tab so the website stops selling them, releasing the hold once the guest leaves.

12.7 Tidying Records

Finished bookings (checked out, cancelled, or declined) can be cleared from the Bookings tab individually or in bulk; live bookings cannot be removed. Owners are advised to download a statement before clearing records they may need later.

12.8 Featuring a Listing

An owner may pay to feature a hotel for a fixed period (one day, three days, one week, one month, or three months), which places it above other listings in search, adds a badge, and includes it on the front-page featured row. Payment follows the same bank transfer/QR process as registration, verified against the uploaded receipt. Buying additional featured time while a promotion is active extends the existing period rather than replacing it.

12.9 Subscription and Renewal

An active subscription keeps a hotel’s listings visible; once it lapses, listings stop appearing in search and the dashboard opens on a renewal screen. Renewal follows the same plan choices and payment process as initial registration, and listings return as soon as payment is verified, with any remaining days from the prior plan preserved.

12.10 Messages and Announcements

The Messages tab in the dashboard carries platform announcements from the Skydrel team — for example, changes to the site or notices affecting a listing — with important announcements also sent by email.

13. Emails Hotel Owners Receive

EmailWhen it arrivesWhat it means
Application receivedAfter submitting the listing formVerification follows; no action needed
Account verifiedWhen the listing is approvedSign in and add the hotel and its rooms
Booking to approveEvery time a guest sends a requestApprove or decline it in the dashboard

Renewal receivedAfter paying to renewA second email confirms when the listing is back
Booking reminderTwo hours after an unanswered requestThe guest is still waiting on a decision
AnnouncementWhen the Skydrel team sends oneSome announcements may require action

14. Content and Conduct Standards for Hotel Booking

  • Hotel owners must list only rooms, rates, and amenities they genuinely provide; incorrect amenity tags or occupancy limits are treated as a policy issue, not only a guest-experience issue
  • Guests must provide accurate personal and identity information; supplying false identity details to obtain a booking is a violation of these terms
  • Reviews must reflect the reviewer’s own stay, must relate to the hotel and its service rather than other guests, and must not include another guest’s private information
  • Repeated fraudulent bookings, fake reviews, harassment of guests or owners, or attempts to bypass the booking or payment process may result in suspension or permanent banning from the hotel booking service, and — where relevant — reporting to Bhutanese authorities

15. Limitation of Responsibility

Skydrel acts only as an intermediary connecting guests and hotels.

  • We do not own, operate, or inspect any listed hotel or room, and do not guarantee the accuracy of a listing beyond what the owner has entered
  • We are not a party to the stay itself, the payment made at the counter, or any arrangement made directly between guest and hotel
  • Skydrel is not responsible for a hotel’s failure to honour a confirmed booking, for a guest’s failure to arrive, for miscommunication between the two parties, or for the condition, safety, or quality of a hotel or room
  • Guests and hotel owners are strongly advised to confirm details directly with each other where anything is unclear, using the contact channels provided

16. Data Security

The same technical and organisational safeguards described in Part One apply to hotel booking data, with particular attention to the sensitive categories collected here — identity document numbers and images, permanent addresses, and owner PINs. These are subject to access controls limiting who can view them, and PINs are never stored or displayed in plain, retrievable form. As with the rest of the platform, no system is completely secure, and information is shared at the user’s own risk.

17. Cookies and Tracking

Cookies are used across the guest-facing booking pages and the Owner Dashboard in the same way described in Part One — to keep a device signed in, remember search preferences, and measure traffic and performance. Disabling cookies may prevent the “remembered” sign-in from working, requiring the PIN (and possibly the email) to be entered each visit.

18. Data Retention for Hotel Booking

  • Booking records, including guest-supplied identity numbers, are retained for as long as necessary to support the stay, any related cancellation or dispute, and applicable legal or hotel record-keeping requirements, even after an owner clears a finished booking from their dashboard view
  • e-Hotel Confirmation Forms remain available for re-download from the booking flow for a reasonable period after issue
  • Hotel owner identity documents and address details submitted at registration are retained for the life of the account and for a reasonable period after closure, for verification and compliance purposes
  • Review content remains published until removed by the reviewer’s request, the hotel, or Skydrel for a policy violation
  • Reports and statements remain available to an owner for download for as long as the underlying booking data is retained

19. User Responsibilities

Guests agree to provide accurate personal, contact, and identity information; to bring the identity document matching what was entered at booking; to use the remarks field honestly; and to write reviews that reflect their own experience.

Hotel owners agree to keep their PIN confidential; to keep hotel and room information, pricing, and availability accurate and current; to respond to booking and cancellation requests promptly; to keep any guest information they receive confidential and use it only to fulfil that booking; and to clearly state their own cancellation and house rules on their hotel page so guests know what applies to a booking with them.

20. Children’s Privacy

Skydrel Hotel Booking is not intended for use by individuals under 13 years of age as an account holder, lead guest, or hotel owner. A child may appear only as an accompanying guest named within a booking made and managed by an adult lead guest. We do not knowingly collect data directly from minors, and any such data identified will be removed upon discovery.

21. Third-Party Links

Hotel pages may include links to external services such as Google Maps, WhatsApp, or a hotel’s own social media or website. Skydrel is not responsible for the privacy practices or content of these third-party services, and guests and owners should review their respective policies before engaging with them.

22. Changes to This Part of the Policy

We may update the hotel booking provisions of this policy at any time, independently of Part One. Changes will be communicated via the platform, the dashboard’s Messages tab, or by email. Continued use of Skydrel Hotel Booking, as a guest or as a hotel owner, implies acceptance of the updated terms.

23. Contact and Support

For anything relating to a booking, a listing, or this policy:

  • Email: skydrel@nattoint.com (quote your booking reference if you are a guest, or your hotel name if you are an owner, for a faster response) / skydrel.com@gmail.com
  • Phone: +975 17695839
  • Address: Damphu, Tsirang 36001

Prices referenced anywhere on the hotel booking service are shown in Nu. and may change; the figure shown on the site at the moment of booking, renewal, or featuring is the one that applies.

24. Governing Context

This part of the policy is designed in accordance with Bhutanese digital practices and hospitality/booking standards, general international privacy principles, and cooperation with relevant Bhutanese authorities when legally required.
